If your fleet runs across state lines, you’re required to file quarterly IFTA reports, and the process can be a headache if you’re tracking everything by hand. Before IFTA reporting software, fleets had to rely on manual driver logs, fuel receipts, and hours of data entry to get the information needed for each report.
Today, IFTA reporting software makes it easier. If you operate IFTA vehicles, you probably already have Electronic Logging Devices (ELDs) as they are mandatory for most vehicles that would qualify for IFTA. An ELD is a piece of hardware attached to the vehicle's computer that automatically records driving data to help comply with government regulations on driver hours of service (HOS).
Included with this data is total miles driven and miles driven by state making ELDs a great option to track the mileage data for your IFTA reports. Some ELD software have IFTA reports built into their customer portal, so you can easily download mileage data that's organized by state.
A fleet fuel card, commonly referred to as a fuel card, is a specialized payment tool designed to help companies control and monitor fuel expenses across their fleet. Fuel cards collect data such as driver, vehicle, odometer, gallons, address, and state with every fuel purchase and organize them into reports fleet's need such as an IFTA fuel report so you don't have to manually add fuel receipts.
Fuel card IFTA reports will list all transactions by state and summarize the gallons purchased in each state so you can easily copy and paste fuel data into your state's IFTA report form.
Filing your quarterly IFTA reports is a breeze with IFTA reporting software. Here's the step-by-step process.
Login to your ELD software portal to download an IFTA report which will include miles driven in each state by vehicle.
Login to your fuel card portal or contact your fuel card provider to get an IFTA fuel report with all gallons purchased by state. When using fuel card IFTA reports, be sure to include only the fuel purchases for IFTA qualified vehicles and only the fuel types that must be reported to IFTA.
Once you have both reports, just copy and paste the data to your base jurisdictions IFTA form and file your quarterly IFTA report. Just make sure the reports you downloaded from your ELD and fuel card are for the right quarter that you are filing for.
Most ELD providers offer fuel card integrations that automatically import transaction data from many of the most popular fuel cards. With fuel card integrations, the ELD software automatically imports your fuel transaction data, combines it with your mileage data, and generates a single IFTA report with everything you need to file your quarterly return.
Many ELD companies also allow you to manually import fuel data via a CSV upload. You would just need to download your fuel card transactions for the quarter in your fuel card portal, export it in CSV format, and arrange the data to match your ELD upload requirements.
